Purpose Booking students

this is the standard room maintenance form, which allows the details to be
changed. This form will not be shown if there

To provide at a glance details of when rooms
are occupied, at a specific (or all) accommodation(s).
The Daily Bookings Chart
helps schools to maximise their accommodation occupancy by showing daily booking
details in a chart format. This is particularly useful for schools with
residences.
The chart can also highlight the following booking
errors.
Rooms overbooked (although the system warns when making the
booking).
Booking students into a room that is "Not Available",
eg. it is being redecorated.
Click on this to show the results once
the selection has been made.
Selection Criteria
First select
the residences to be included.
Select the accommodation type or
"All".
The names listed show the surname and forename of those matching
the accommodation type selected.
Select a single accommodation or leave blank
for "All".
Next, select the date range to be investigated, this defaults to
12 weeks from today (but above, we have selected 24 weeks).
Select the number of weeks to be
checked.
From
Start date for calculations.
Changing this
date uses the interval to reset the 'To' date.
End
date for calculations.
Changing this date uses the interval to
reset the 'From' date.
Select
days not required for display.
For example, if a school only operates weekly
bookings, then Mon-Fri may be suppressed.
Room Types
Select "All"
or any combination of types (as defined in the system settings) to be included.
Spare Capacity, Fully Booked or All
These compare the number
of beds in each room against the number of students booked in each day.
"Spare Capacity" may indicate empty or part-filled rooms.
"Fully Booked"
includes over-booked rooms.
No check is made if "All" is selected.
Only
those rooms with a booking of the selected gender within the date range will be
included.
No check is made if "All" is selected.
Please note that rooms
with mixed sexes will only be shown if "All" is selected.
Available
Rooms, Not Available or All
These check to see if the room has been
marked as not available for booking, eg. room being redecorated, for those
dates.
No check is made if "All" is selected.
The default is to show the rooms in Room Name sequence.
If
selected, this will sort them by the number of beds.
Match On ALL
Dates in Range
If selected, each room will be shown if it matches the
above selection criteria for ALL dates in the range chosen.
If NOT selected,
it will be shown if it matches on ANY date within the range chosen.

Rooms with mixed gender students have an exclamation mark "!".
* If the sex
of one or more of the students is not known, a questions mark "?" is shown.
*
Italics indicate the start of a new student booking.
* Part booked rooms are
in white with blue lettering, fully booked rooms are
in black, and overbooked rooms are in red.
* Rooms that are not available will be shown in
green for the dates involved. If
any student is booked in during a period, the number and gender will be shown in
the appropriate colour listed above.
Help
This shows the following
message box:
This rechecks the
booking details and redisplays the grid.
This allows the selection to remain
on screen while bookings are processed. Perform this whenever room or booking
details are significantly changed.
This send the details to
Excel to allow data manipulation and printing.
Double-click on either the
"Beds" or "Room Name" column on the left hand side to show the room
details:
Double-click on a cell on the right hand side to show
details of students booked into that residence/room on that day:

note details may not be amended from this screen.
